The products share a philosophy and platform foundations, but they solve different organisational problems.
What is the difference between KX Lite, KX Suite and KX Practice?

KX Lite is a standalone Xero-to-Excel workspace that helps an individual user turn authorised source information into reusable analysis, reporting and evidence; an organisation may install independent copies for many users. KX Suite includes that foundation and adds a centralised ERP-capability layer for one growing business, covering shared administration, reporting, consolidation, controlled transactions, planning, inventory, production and wider operations. KX Practice is the portfolio-level hub for an accounting or bookkeeping practice to coordinate staff, recurring work, reporting, review, evidence and delivery across Xero-only clients and clients using KX Suite.

What is KalkuleX?

KalkuleX is a family of finance and operational software products built around authorised Xero information, Microsoft Excel and controlled business workflows. Xero remains the accounting system of record while KalkuleX helps people prepare, analyse, review and, where a supported workflow permits, safely action work.

Which KX product should I choose?

Choose KX Lite when one or more people need their own independent Xero-to-Excel workspaces. Choose KX Suite when a business needs shared work, central administration, granular staff permissions and broader ERP-style finance and operational capability. Choose KX Practice when an accounting or bookkeeping practice needs one governed hub across a portfolio of Xero-only and KX Suite clients.

Can an organisation use more than one KX product?

Yes. Separate users can begin with KX Lite, a growing organisation can adopt KX Suite when central control and broader capability are required, and its external accounting practice can use KX Practice to coordinate authorised work across the client portfolio.

Is there a limit on how many Xero organisations the KX product range can connect?

No. Outside the free trial, KalkuleX does not impose a limit on the number of authorised Xero organisation connections across the KX product range. The free trial is limited to two Xero organisations so users can assess KX Lite with real business information. Every connection remains subject to the user’s Xero authority, product availability and Xero platform allowances.

Can we start with KX Lite and move to KX Suite later?

That is the intended product path. KX Lite provides the standalone Xero-to-Excel foundation. KX Suite is designed to retain those foundations while adding shared administration, permissions, workflows and wider business modules. Migration arrangements will be confirmed with the verified KX Suite release.

Does KalkuleX replace Xero?

No. Xero remains the accounting system of record. KalkuleX adds preparation, analysis, reporting, workflow and controlled operational capability around it rather than creating a second independently maintained general ledger.

Is KalkuleX only a reporting tool?

No. Reporting and reusable Excel work are important foundations, but the product range extends into consolidation, GL Cross-Match, audit intelligence, close and workflow, receivables, purchasing, controlled Xero actions, inventory, production, planning, workforce and operational finance. The breadth and level of central coordination differ by product.

KX LITE

KX Lite is the initial product and the right starting point when central network control is not required.
What is KX Lite designed for?

KX Lite is an Excel-native workspace for a finance professional who wants to bring authorised Xero information into Microsoft Excel, shape useful results, save reusable queries and keep the work reviewable. It is a standalone user product, not a networked multi-user administration system.

Can KX Lite be installed for multiple users in one organisation?

Yes. An organisation can install KX Lite for multiple users. Each user has an independent standalone workspace and signs in with their own authorised access. KX Lite does not add central user administration, shared permissions or networked workflow control; those organisational controls belong to KX Suite.

Does ‘individual user’ mean only one person in the whole business can use KX Lite?

No. It describes how each installation operates, not a limit on how many people may use KX Lite. A business may deploy multiple independent KX Lite installations across its organisation.

Can KX Lite work with more than one Xero organisation?

Yes. KX Lite supports multi-company Excel work while retaining source-company identity. The free trial permits two authorised Xero organisations, but paid KX Lite does not impose a limit on the number of authorised Xero organisation connections. Working with several organisations does not turn KX Lite into a centrally networked multi-user product.

What work can KX Lite help with?

KX Lite guides the user from authorised Xero data selection to a clean Excel result. It supports reusable KX Queries and templates, controlled refresh, multi-company results with retained company identity, GL Cross-Match and mapping review, evidence packs, source freshness and visible KX Credit estimates. The benefit is that recurring analysis and reporting can be reviewed and refreshed without rebuilding the same export and preparation work each time.

Does KX Lite keep the result in Excel?

Yes. Microsoft Excel remains the working and analytical environment. The workbook, its authorised source context and the reusable KX definition stay connected so the result can be reviewed and refreshed without rebuilding the same export each time.

Which versions of Microsoft Excel will KX Lite support?

The meaningful core experience is intended for Excel on Windows, Excel on Mac and Excel for the web. iPad support depends on the Excel APIs and usable workspace available for the required workflow. A Windows-only local service is not intended to be mandatory for core product access.

Can KX Lite be used without an internet connection?

Existing workbook content remains ordinary Excel content, but signing in, retrieving or refreshing Xero information, checking authority and completing governed cloud processing require an internet connection. KalkuleX does not present disconnected data as current.

What is KX Suite?

KX Suite is a streamlined ERP system designed to bridge the gap between standard Xero capability and a larger ERP implementation. It keeps Xero as the accounting system of record while adding a centralised network hub, system administration, controlled workflows and broader finance and operational capability.

Who is KX Suite intended for?

It is intended for growing businesses that need more structure, control and functionality than standard Xero provides but cannot justify the expense, complexity or business disruption of moving to systems such as NetSuite, Microsoft Dynamics 365 or SAP Business One.

Does KX Suite include KX Lite capabilities?

Yes. KX Suite is designed to include the KX Lite Xero-to-Excel foundations, including reusable workspaces, guided data selection, multi-company work, GL Cross-Match, evidence and visible KX Credit estimates, then extend them into a centrally governed environment.

What does centralised or networked mean in KX Suite?

It means companies, users, staff access, module and action permissions, approval authority, workflows, jobs, evidence and audit history can be administered through one shared organisational environment rather than separately in each user’s standalone installation.

What finance and reporting work is KX Suite designed to cover?

KX Suite is designed to cover reusable Excel data workspaces, financial and management reports, executive reporting, report groups, subgroups and custom subtotals, cost centres, company groups, multi-company consolidation, mappings and eliminations, budgets, forecasts, cash flow, receivables, purchasing, close workflows, exceptions and audit intelligence. The benefit is a traceable management view across companies and operating structures without replacing Xero as the accounting system of record.

Can KX Suite create transactions in Xero?

Supported workflows are intended to prepare sales invoices, customer credits, supplier bills, purchase orders, manual journals and approved adjustments. Every write pathway must remain narrow and permissioned: prepare, validate, review, approve, confirm, write, read back, reconcile and retain an audit record. Xero authority and supported APIs remain the ceiling.

What inventory and production work is KX Suite designed to cover?

KX Suite is designed to connect product groups and master data, units, suppliers, pricing, tax and account mappings, replenishment, purchase orders, stocktakes, multiple warehouses and stock locations, kits, bills of materials, work orders, material movements, work in progress, production costing and related adjustments. The benefit is that stock and production decisions can be reviewed alongside budgets, approvals, accounting effects and operational evidence.

Is KX Suite available now?

KX Suite is in development. Its website page describes intended scope, not a claim that every module is released or production-ready. Verified availability will be stated module by module as development progresses.

What is KX Practice?

KX Practice is the forthcoming centralised operating hub for accounting and bookkeeping practices. It is designed to keep each client, company, responsible team, authority, workflow and outcome clear across the practice portfolio.

Can KX Practice support both Xero-only and KX Suite clients?

Yes. That is a defining purpose of KX Practice. It is intended to connect clients that continue to use Xero directly and clients that adopt the broader KX Suite environment, while preserving separation between every client and company.

How is KX Practice different from KX Suite?

KX Suite is the shared operating environment inside one growing business. KX Practice is the portfolio-level hub used by an accounting or bookkeeping practice to coordinate authorised work across many separate client organisations and mixed client environments.

What work is KX Practice designed to coordinate?

KX Practice is designed to coordinate a client and company directory, practice team responsibilities, company-specific permissions, shared reporting blueprints, practice standards, retained GL Cross-Match knowledge, batch and scheduled reporting, recurring work, preparer and reviewer steps, deadlines, evidence, delivery records and client- or practice-branded outputs. The benefit is consistent portfolio-wide service without losing the separation, authority or history of each client organisation.

Can an accountant or bookkeeper use KX Lite instead?

Yes. An individual accountant or bookkeeper can use KX Lite as an independent Excel workspace. KX Practice becomes relevant when the practice needs central administration, shared client context, repeatable workflows and staff coordination across the portfolio.

Is KX Practice available now?

KX Practice is in development. The current website describes the intended product direction. Capability and verified release readiness will be stated as development progresses.

KX CREDITS AND TRIAL

What are KX Credits?

KX Credits support the processing required for work you choose, such as preparing a selected Xero-to-Excel result. KalkuleX shows the expected KX Credit requirement before material paid work starts so you can review the scope and decide whether to proceed.

Does KalkuleX charge a monthly or per-user subscription?

The KalkuleX product range does not use ordinary monthly access fees, per-seat pricing or annual contracts. KX Credits are added when needed and applied to approved work. Product-specific purchase, setup and optional support terms are stated before commitment.

How does the KX Lite free trial work?

The planned assessment provides 25,000 free KX Credits after sign-up confirmation, permits two authorised Xero organisations and does not require a credit card. The two-organisation limit applies only to the free trial; outside the trial, the KX product range does not impose a limit on the number of authorised Xero organisation connections.

Will I see the KX Credit estimate before approving work?

Yes. Before material paid processing begins, KalkuleX is designed to show the selected scope and expected KX Credit requirement. The estimate remains visible whether you approve that work individually or allow it to proceed under a pre-approved KX Credit limit you have chosen.

Do I have to approve the KX Credit estimate every time?

No—the choice is yours. If you do not set a limit, approval is required for each item of work. When you are comfortable, you can set a maximum KX Credit amount per query that you are willing to pre-approve. For example, with a 50,000 KX Credit limit, any query estimated at or below 50,000—including a query estimated at 4,900 KX Credits—can proceed automatically under that saved approval. A query estimated above 50,000 must stop and ask for your specific approval. You can change or remove the limit, and every estimate and KX Credit transaction remains visible and recorded.

Does a KX Credit pre-approval limit bypass security or Xero write approvals?

No. The limit controls only whether a fresh KX Credit approval is needed for the estimated processing. It does not expand a user’s permissions or bypass any separate review, approval, confirmation or authority required to write information to Xero.

Do larger KX Credit packs provide better value?

Yes. Larger packs provide more KX Credits for each dollar because the bonus-credit percentage increases with the pack size. The current Pricing page shows every approved pack, its included bonus credits and its effective price so you can compare the exact value before choosing.

Are KX Credits the same as a subscription?

No. A subscription normally charges for continued access or seats over time. KX Credits are applied to approved processing and work. The software is positioned around available capability, work completed and value enabled rather than seat rental.

What happens if there are not enough KX Credits for selected work?

The intended control is to show the expected requirement, compare it with the available balance and prevent chargeable work from beginning without enough approved capacity. The user can reduce the scope or add KX Credits before proceeding.

XERO, DATA, SECURITY AND KX Ai

Authority remains with the user and the source system.

KalkuleX can restrict an action further, but it never turns limited Xero authority into broader access.
Does KalkuleX give users more access than they have in Xero?

No. A user’s Xero authority remains the maximum access available for that company. KalkuleX may restrict access further, but it does not broaden Xero permissions. Missing, expired or unclear authority is treated as denied access.

Does KalkuleX store my Xero password?

No. Users authorise access through Xero’s sign-in and consent process. KalkuleX does not ask users to provide their Xero password to the product.

Can KX Ai access or update a Xero ledger?

No. KX Ai never receives Xero credentials, uses a Xero API client or calls Xero. KX Ai may analyse worksheet information deliberately shared with it and prepare suggestions or commentary, but KX Ai-assisted information is not eligible for a Xero write. No administrator can override this boundary.

Can KalkuleX write anything to Xero without approval?

No supported write workflow should bypass its required authority and approval controls. A write must be prepared, validated, reviewed, explicitly approved against the exact version, confirmed, executed, read back, reconciled and recorded. The product must also prevent duplicates and preserve recovery information.

What happens when I switch companies?

The selected company is authoritative. Company-scoped data, lookups and permissions must reload for that company, and late responses belonging to the previously selected company must be discarded so information is not shown in the wrong context.

How does KalkuleX keep work traceable?

Governed workflows are designed to retain the user, company, time, selected scope, decision, outcome, source references, before-and-after references where applicable, and the relevant application or rule version. Saved results should reopen without silently rerunning paid work.

Does KalkuleX automatically download everything from Xero?

No. Work is deliberately scoped. Users choose relevant companies, periods, rows, fields and workflows. KalkuleX uses controlled refresh and governed processing rather than unrestricted repeated downloads, and it honours Xero’s availability and rate limits.

What happens if Xero data or a permission is unavailable?

KalkuleX should identify whether information is unavailable, not loaded, outside the user’s permission, not applicable or genuinely zero. It does not invent values to make a screen appear complete.

Does KalkuleX provide an audit opinion, tax advice or statutory accounts?

No. KalkuleX supports management reporting, finance analysis, reconciliation, traceability, obligation planning and evidence preparation. It does not provide a statutory audit opinion, legal or tax certification, or statutory accounts production.

Are lenders really using accounting-platform data?

Yes. Some lenders allow an applicant to authorise a connection to accounting software so financial information can be assessed digitally. The information requested and the assessment method vary by lender. KalkuleX does not connect to, represent or predict the decision of any lender.

Why does digital record readiness matter?

Lenders and government authorities increasingly work with structured digital information, direct software lodgements or third-party data matching—not only reports prepared after the event. Clear, current and explainable underlying records make it easier for a business and its advisers to understand what that information supports before it is required externally.

Does KalkuleX guarantee that my Xero records are accurate?

No. KalkuleX helps authorised users review information, retain source context, identify exceptions and investigate matters requiring attention. Accuracy still depends on the underlying records, appropriate reconciliation and the judgement of the business and its professional advisers.

Can KalkuleX improve lending readiness?

KalkuleX can help users maintain clearer, more current and more reviewable accounting information. That can make it easier to understand and support the financial position presented by the records. KalkuleX does not guarantee eligibility, approval, borrowing capacity or lending terms.

Does KalkuleX report information to a bank or government authority?

No. KalkuleX does not send information to a lender or government authority merely because a customer uses the product. Any external connection, lodgement or disclosure must occur through the relevant authorised process and with the required permission.

Can KalkuleX determine ownership, tax or consolidation treatment automatically?

No. Xero can provide useful organisation details, but ownership, voting rights, tax relationships, consolidation treatment and similar conclusions require facts and professional judgement. KalkuleX keeps those decisions with authorised people and does not infer them merely from a country, organisation type or ledger entry.

Which KalkuleX product is available first?

KX Lite is the initial product and the current focus of the assessment and download pathway. KX Suite and KX Practice are separate products in development.

Where can I download KX Lite?

Use the official Downloads page. The public download and assessment instructions will be shown there when the release package is ready. Do not rely on unofficial files or an older development link.

How do I register interest in KX Suite or KX Practice?

Use the contact form and select the relevant product topic. This lets KalkuleX understand your organisation, required capabilities and preferred release updates without implying that an in-development product is already available.

Is setup or implementation assistance available?

KalkuleX may offer optional paid setup and support services. The exact scope, responsibilities and price should be agreed before work begins; software access and professional implementation assistance are not presented as the same thing.

Where can I learn how to use KX Lite?

The Tutorials and KX Lite manuals cover installation, Xero connection, baseline settings, modules, everyday processing, administration, security, troubleshooting, recovery and support. Guidance will continue to be updated alongside verified product behaviour.

What should I do if my question is not answered here?
